Wedding Planner hourly rate calculator

This free calculator works out the hourly rate a wedding planner should charge, starting from the income you need — then converts it into the package prices couples actually buy. The wedding day is one long Saturday; the work is the months of weekday hours behind it. With the honest presets below it lands near $101 an hour: the coordination day is the $809 day rate, and a full-service package carrying about forty hours of planning prices near $4,040.

The pricing reality for freelance wedding planners

Wedding planning has the strangest shape in the events world: a long, quiet tail of weekday work — venue shortlists, vendor calls, timelines, tastings, spreadsheets — that detonates into one unrepeatable weekend day where everything you planned either happens or doesn't, in front of everyone. Couples see the day. The rate has to price the tail.

Keep the neighbouring trade separate. An event planner runs corporate and general events — weekday conferences, launches, company budgets and repeat clients. A wedding planner works for couples, on weekends, on a day that cannot be rerun and is judged by family. The skills overlap; the calendar, the client and the stakes do not, so the presets differ.

A wedding planner’s scarcest asset is not time in general. It is Saturdays. Weddings cluster onto a limited run of weekend dates across the season, each date can be sold exactly once, and no amount of marketing manufactures a second one. That ceiling is the real shape of the business: the diary fills by the date, not by the hour, and a peak Saturday refused this year is revenue no later month can replace. It is also why the half-planned wedding deserves a wary price. Taking over from a couple’s own start — or from another planner — means auditing every contract, balance and promise made before you arrived, and the unpicking is skilled, invisible work that couples rarely imagine exists until somebody has to do it.

The preset below starts billable time at 45%: consultations for weddings you don't win, travel between venues and vendors, and plain admin take the rest. The numbers are starting presets, not a survey: a $56,000 target income, $3,600 a year of expenses — planning software, venue travel, insurance and the on-the-day kit are the shape of it — and 45% billable time. With those starting numbers the calculator lands near $101 an hour.

Costs wedding planners forget to put in the rate

  • The enquiry tail. Most consultations do not become bookings, and they are not short: a couple, a venue conversation, a follow-up proposal. The weddings you win pay for the hours of the ones you don't.
  • Travel between everyone. Venues, florists, caterers, rehearsal spaces — the job is geographically scattered, and the miles between appointments are work time nobody itemises.
  • A second pair of hands. A coordination day is rarely a solo job: an assistant keeps the timeline while you handle the crisis. Their day is a real cost that belongs inside the package price, not on your card.
  • Being on call. The final week runs on your availability — vendor panics, weather plans, family questions at all hours. Time claimed is time spent, whether or not it fills a timesheet line.
  • The day-of kit and insurance. The emergency kit, the radios, the printed timelines — and the liability insurance venues increasingly require before you work in them. Small lines, every single wedding.
The maths

How this calculator works

Start with the hours you can genuinely sell. Take 52 weeks, subtract your vacation weeks, multiply by your hours per week, then multiply by your billable percentage. With the wedding planner presets — four weeks off, 40 hours a week, 45% billable — that is 864 billable hours a year: the planning and coordination hours left once enquiries, travel and admin have taken theirs.

Next, work out what those hours must bring in. Add your desired income and your annual business expenses together — $59,600 on the presets — gross the total up for tax by dividing by one minus your tax rate — at a 25% estimate, divide by 0.75 to get $79,467 — then add your profit margin to reach $87,413 and divide by your billable hours. That final number, $101, is the rate below which the year stops adding up.

Now convert it into the units couples buy. The coordination day — your day rate — is $809, which is the honest floor for day-of-only work once a few prep hours are added. Month-of coordination, at about twenty hours across the final weeks, prices at $2,020. A full-service package, at about forty hours spread over the engagement, is $4,040. Quote the package as the package — but build it from these hours, counted honestly, including the tail couples never see.

Price a takeover honestly. A couple arrives three months out with a venue and three vendors booked, a spreadsheet of half-decisions and no timeline. Before any planning can start, the audit takes about six hours — every contract read, every balance checked, every cheerful assumption tested — which at the preset rate is $606 of work that produces nothing photogenic and prevents everything expensive. The takeover price is that audit set on top of the month-of package the wedding now resembles: $606 plus $2,020 comes to $2,626. Couples who can see the audit as a line item understand what they bought. Couples who insist it should be free are asking you to absorb the risk of decisions you never made — the one part of the wedding that was never yours to give away.

Disclaimer: This is a planning estimate, not tax advice. Tax rates, deductions and allowances vary by country, state and business structure. Enter the rate you expect to pay, and check significant decisions with a qualified accountant.
Questions

Wedding Planner rate questions

A flat package, because that is how couples buy — one price for the wedding, agreed early. But the package must be converted from your hours: on these presets, day-of coordination is the $809 day rate, month-of coordination at about twenty hours is $2,020, and full service at about forty hours is $4,040. A package priced without counting the planning tail is a discount you give by accident.
Because the visible wedding day is a small part of the booking. Behind it sit months of weekday planning, consultations for couples who book someone else, travel between venues and vendors, and the admin of a dozen suppliers per wedding. The 45% is not pessimism — it is the shape of the year once every wedding's tail is counted.
It should include the cost, listed openly. A coordination day usually needs a second person, and their fee is a real cost of delivering the day the couple bought. Put the assistant as a line in the package rather than absorbing it silently — absorbed, it comes straight out of the rate this page just built for you.
Carefully — the model pays you more every time the couple spends more, which quietly bends every recommendation you make afterwards. The comparison is still worth running. Ten percent of a $40,000 wedding is $4,000, landing close to the forty-hour full-service package on these presets at $4,040: similar money, very different incentives. Under the package, talking a couple out of an upgrade costs you nothing. Under the percentage, it costs you a tenth of the upgrade. If a couple prefers the percentage, take it with the conflict named and agreed in writing — and let your counted hours remain the check on both models.
