College admissions consultant hourly rate calculator

This free calculator works out the hourly rate a self-employed college admissions consultant should charge for their time, starting from the income you need, then builds the season package families actually pay out of the hours a student's application year really holds. Families rarely buy “an hour of consulting”; they buy a guided season — the list built with judgement, the essays coached draft by draft, the deadlines held — from the first assessment to decision day. With the honest presets below the rate lands near $118 an hour, $946 for a full day — and the season built from it: about twenty hours of your time per student end to end, a $2,360 package — with a single hourly consultation at $118 for the family who needs one question answered well.

The pricing reality for college admissions consultants

A season is bought flat and earned across a year of uneven hours. Inside the fee sit the assessment, the list research, the essay drafts read properly, the application reviews, the interview preparation and the parent updates that keep everyone calm. A package copied from another consultant's website carries all of that whether it covers it or not. Price the hour first, and the package becomes an assembly: so many hours of your judgement, at a rate that adds up.

The shape of the year matters as much as the shape of the job. Admissions work is seasonal to its bones — the autumn of application deadlines is frantic, while spring and summer belong to list-building and rising seniors. A consultant cannot bill July into January; the year's students must carry the year's costs, which is why the presets bill only 50% of the working week. What fills the rest is real work — college research, campus visits, enquiries that never sign, the reading that keeps your advice current — most of it genuinely unbilled. The rate is honest about that instead of pretending every hour is a coaching hour.

The numbers below are starting presets, not a survey: a $68,000 target income, $9,400 a year of expenses — college-visit travel leads, with professional memberships and conferences, certification and training, website and marketing, software and student-portal tools, professional liability insurance, college data and resources, and phone and admin — a 25% tax estimate, four weeks of vacation taken in the quiet season, a 40-hour week and 50% billable time. With those starting numbers the calculator lands near $118 an hour.

Costs college admissions consultants forget to put in the rate

  • The campus visits. Your advice is only as good as your knowledge of the colleges on the list, and that knowledge is maintained at open days and on campus tours. Visit travel is the expense of staying credible, and it belongs in the rate, not in your goodwill.
  • The essay drafts. The first draft is rarely the essay. Students revise — a topic reframed, a supplement cut to the word count, a voice found on the fourth pass — and revision rounds are coaching hours. State how many drafts the package includes and price the rest, or the fifth rewrite is a gift nobody noticed giving.
  • The parents. Much of the season is spent keeping two generations calm at once: the update calls, the reassurance emails, the deadline reminders. That communication is work the family is buying — count it in the hours per student, not as an interruption to them.
  • The quiet season. Spring and early summer bookings are scarce, but the rent is not. The autumn hours must carry the quiet months, which is exactly what the billable percentage is for. Consultants who price as if every month were October discover the truth in February.
  • The knowledge itself. Acceptance patterns, testing policies and essay prompts shift every cycle. The reading, conferences and data subscriptions that keep a list honest are a real cost of the advice — a consultant working from five-year-old knowledge is selling confidence, not guidance.
The maths

How this calculator works

Start with the hours you can genuinely sell. Take 52 weeks, subtract your vacation weeks, multiply by your hours per week, then multiply by your billable percentage. With the admissions consultant presets — four weeks off, 40 hours a week, 50% billable — that is 960 billable hours a year: the assessments, coaching and application work families can pay for, once research, travel and the quiet season have taken theirs.

Next, work out what those hours must bring in. Add your desired income and your annual business expenses together — $77,400 on the presets — gross the total up for tax by dividing by one minus your tax rate — at a 25% estimate, divide by 0.75 to get $103,200 — then add your profit margin to reach $113,520 and divide by your billable hours. That final number, $118, is the rate below which the year stops adding up.

Now translate the hour into the package families actually buy. A full season with one student is about twenty hours end to end: an hour and a half of assessment, three hours building the college list, six hours of essay coaching, five hours reviewing applications, an hour and a half of interview preparation, two hours on decisions and final meetings, and an hour of parent updates — which is a $2,360 package. Essay coaching on its own, for a student managing their own applications, is about eight hours, $944. A single consultation is one hour, $118. What those hours never buy is an outcome: the fee prices guidance and work, never an admissions decision — no honest consultant sells one, because no consultant controls one.

Disclaimer: This is a planning estimate, not tax advice. Tax rates, deductions and allowances vary by country, state and business structure. Enter the rate you expect to pay, and check significant decisions with a qualified accountant.
Questions

College admissions consultant rate questions

Because the season is uneven and half the expertise cannot be billed. Autumn deadlines bill; the campus visits, college research, reading and quiet-season business-building that make the advice worth buying mostly do not. Fifty percent is a realistic start for a full-time solo consultant. If you consult alongside other work, set the share and the hours to match your real week — the maths holds at any scale.
For most families, yes — the season is one product with a known skeleton, and a flat fee lets them budget once. Build it from honest hours, state what it includes (draft rounds, meetings, the number of applications) and what sits outside it — extra applications, extra drafts, a second student — priced at the same hourly rate. Hourly billing suits the family who genuinely needs two hours rather than twenty; offer both, priced from the same rate.
No — and the honest version of this answer is a selling point, not a limitation. No consultant controls an admissions decision, so a fee tied to outcomes is either theatre or pressure on the student. What you can charge for is depth: more drafts, more colleges, an earlier start, closer accompaniment. Families who have met the guarantee-sellers will recognise the difference, and the ones who insist on a guarantee were never going to be good clients for careful work.
