Transcriptionist hourly rate calculator
This free calculator works out the hourly rate a transcriptionist should charge, starting from the income you need — not from a per-audio-minute rate copied off a job board. It adds the checking pass, timestamps and file handling transcription quietly carries, divides by the hours you actually spend at the keyboard, and then converts the result back into per-audio-minute terms, because that is how transcription work is really bought.
The pricing reality for freelance transcriptionists
Transcription is sold by the audio minute, by the audio hour and occasionally by the project, and each model hides the same hour: an hour of audio is not an hour of work. Clear dictation moves quickly; a three-speaker meeting with crosstalk crawls. Per-minute pricing hides that difference entirely, and hides the second pass — the proofread against the audio that turns a draft into a transcript.
That hidden work is where transcription rates quietly fall apart. Timestamps, speaker labels, unclear-passage checks and file wrangling all take keyboard time that the audio clock never shows. That is why the preset below starts billable time at 65% — high next to most trades on this site, because the typing really is most of the job — rather than the 100% a per-minute price silently assumes: the audio is the product, but it is not the whole job. The people who made the recordings can run the same maths with the podcast editor presets for the editing side of the same audio.
The numbers below are starting presets, not a survey: a $36,000 target income, $1,200 a year of expenses — transcription software, a foot pedal, headphones and audio tools are the shape of it — and 65% billable time. With those starting numbers the calculator lands near $44 an hour. Change any figure to match your own books; the point is not the preset, it is that every cost gets counted before the per-minute rate is quoted, not discovered on the third hour of a one-hour file.

Costs transcriptionists forget to put in the rate
- The checking pass. A transcript is not finished when the typing stops. Proofing against the audio — catching mishears, marking unclear passages honestly — is a second run through the material, and it is your time.
- Difficult audio. Multiple speakers, crosstalk, strong accents, poor recordings and background noise all slow the pace sharply. A rate built on clean interview audio underpays on every meeting recording.
- Timestamps and speaker labels. Inserting timecodes and identifying speakers is extra keyboard work beyond the words. It belongs in the quote as the time it takes, not as a free flourish.
- Software and kit. Transcription software, the foot pedal, good headphones and audio clean-up tools are the instruments of the trade. They sit in expenses whether or not this week was busy.
- File handling and admin. Downloading, converting, naming, delivering and invoicing around every file is unglamorous, necessary and unpaid unless the rate counted it.
How this calculator works
Start with the hours you can genuinely sell. Take 52 weeks, subtract your vacation weeks, multiply by your hours per week, then multiply by your billable percentage. With the transcriptionist presets — four weeks off, 40 hours a week, 65% billable — that is 1,248 billable hours a year, well under the 2,080 hours a salaried job is counted on. That gap is why dividing a target salary by 2,080 always underprices transcription work.
Next, work out what those hours must bring in. Add your desired income and your annual business expenses together — $37,200 on the presets — gross the total up for tax by dividing by one minus your tax rate — at a 25% estimate, divide by 0.75 to get $49,600 — then add your profit margin to reach $54,560 and divide by your billable hours. That final number, $44, is the rate below which the year stops adding up.
Now convert it back into the units clients buy. The conversion runs through your own pace, and pace is everything in this trade: as an example, if one hour of clear interview audio takes you four working hours to transcribe and check — an example, not a rule; your pace is yours to measure — that audio hour carries $176 of your time at the preset rate, which is about $2.93 per audio minute. A batch of six audio hours at that example pace is twenty-four working hours, about $1,056. And a full working day at the preset rate is $350, the day rate the calculator shows above. Take any per-minute offer and multiply it back up at your measured pace: $1.50 an audio minute at a four-to-one pace pays $22.50 an hour, however it is labelled.
