Sleep consultant hourly rate calculator

This free calculator works out the hourly rate a self-employed sleep consultant should charge for their time, starting from the income you need, then builds the programme fees parents actually pay out of the hours a programme really holds. Parents rarely buy “an hour of sleep consulting”; they buy a plan for their child, someone to adjust it, and a person who answers when night three goes sideways. With the honest presets below the rate lands near $69 an hour, $549 for a full day — and the fees built from it: an initial consultation at about an hour and a half, $103.50, and a two-week support programme at about eight hours of your time, $552.

The pricing reality for sleep consultants

A sleep programme is bought flat and earned across a fortnight of small hours. Inside the fee sit the assessment call, the written plan, the check-in calls and the message thread that runs morning and evening while a family finds its footing. A programme price copied from another consultant’s website carries all of that whether it covers it or not. Price the hour first, and the programme becomes an assembly: so many hours of your judgement, at a rate that adds up — including the hours nobody sees, which in this trade are most of them.

The unseen hours are the pricing story here. The plan is written after the call, not during it. The message support arrives ten minutes here and fifteen there, at the hours families are actually awake and struggling — early mornings and evenings, not office hours. A consultant who prices only the calls discovers the programme quietly costs twice its fee in time. Count the plan-writing and the follow-up at their real size, say what the support window covers — which hours, which days, how fast you reply — and the flat fee stops being a guess.

The numbers below are starting presets, not a survey: a $45,000 target income, $6,400 a year of expenses — certification and continuing training lead, with insurance, a website and marketing, travel for in-home visits, software, programme materials and memberships — a 22% tax estimate, four weeks of vacation, a 40-hour week and 55% billable time: calls, plans and follow-up bill, and marketing, admin and the gaps between families take theirs. With those starting numbers the calculator lands near $69 an hour.

Costs sleep consultants forget to put in the rate

  • The plan-writing hours. The assessment call is the visible hour; the plan that follows it is written in your quiet time and is the actual product. If the fee was built from the call alone, every plan is written free. Count writing time as programme hours, because it is.
  • Message support creep. “Two weeks of support” without edges becomes two weeks of unlimited evenings. The fix is not coldness, it is definition: stated support hours, a stated reply rhythm and a stated end date — all inside the programme price, all agreed before night one.
  • The follow-up tail. Some families need a third week, or a regression call a month later. Small courtesies are good business; unpriced habits are a leak. Decide which courtesies are included and which are a paid add-on — an extra week of follow-up is about two more hours, $138 — and say so while everyone still likes each other.
  • Certification and staying current. Guidance moves, and parents ask sharper questions every year. Training and memberships are the rent of being worth hiring — they belong in the rate at their real price, not absorbed as if your expertise maintained itself.
  • Evenings are your shopfront. Consults happen when parents are free, which is rarely 11 a.m. on a Tuesday. Unsocial-hours work is still work at the same rate — the families who need evenings are not a surcharge category, just your market — and the rate is built from your whole week, evenings included.
The maths

How this calculator works

Start with the hours you can genuinely sell. Take 52 weeks, subtract your vacation weeks, multiply by your hours per week, then multiply by your billable percentage. With the sleep consultant presets — four weeks off, 40 hours a week, 55% billable — that is 1,056 billable hours a year: the calls, written plans and follow-up parents can pay for, once marketing and admin have taken theirs.

Next, work out what those hours must bring in. Add your desired income and your annual business expenses together — $51,400 on the presets — gross the total up for tax by dividing by one minus your tax rate — at a 22% estimate, divide by 0.78 to get $65,897 — then add your profit margin to reach $72,487 and divide by your billable hours. That final number, $69, is the rate below which the year stops adding up.

Now translate the hour into the fees parents actually buy. An initial consultation — an hour and a half of call — is $103.50. The full two-week programme is about eight hours of your time: the consultation itself, about two hours writing the plan, an hour and a half of check-in calls, and about three hours of message support across the fortnight — $552, with the support window written into the fee: which hours, which days, and the date it ends. An extra week of follow-up is about two hours, $138. What never works is pricing the programme from a competitor’s menu and discovering your evenings in it afterwards.

Questions

Sleep consultant rate questions

Because the call is the smallest part of the programme. The written plan, the check-in calls and a fortnight of message support are roughly six and a half of its eight hours. If a fee ever looks high, the honest fix is to show the parent the hours — most resistance is really a client pricing the one hour they saw. A consultant who cannot point to where the hours go will keep discounting the ones nobody saw.
Usually the cleaner shape is one rate, honestly built. Sleep work happens at family hours by nature; that is already inside the presets’ billable share and your week. What should be priced and bounded is the support window itself — the hours you answer, the days it runs, the date it ends. Charge for the add-on week, not for the fact that a message arrived at 7 p.m.
Fewer than the diary suggests, because support overlaps: three families in week one of their programmes is three message threads every evening. Count concurrent support load, not just booked calls — if every evening is full, you are full, whatever the calendar says. The 55% billable share in the presets is the admission that gaps between families are part of the work, not a failure to fill them.
