Massage Therapist hourly rate calculator
This free calculator works out the hourly rate a freelance massage therapist should charge, starting from the income you need — then converts it into the session prices clients actually book. Sessions are the unit, sixty or ninety minutes of hands-on work — and the honest limit here is physical: hands-on hours cap out well below desk hours, because the work is done with your body. With the honest presets below it lands near $72 an hour, $579 for a full day: a sixty-minute session prices at $72, and a ninety-minute session at $108.
The pricing reality for freelance massage therapists
Massage is priced in hours but limited by the body. A desk worker can bill six or seven hours a day; a therapist's hands, wrists, back and shoulders set a lower ceiling, and four to five hands-on hours is a genuinely full day. Any rate maths that quietly assumes desk-job hours will underprice every session on the table — and the shortfall is paid in strain, not just money.
Between the sessions sits the turnaround nobody books: resetting the room, changing linen, writing notes, laundry, and the client arriving late or leaving slowly. A diary showing five sixty-minute sessions is five billable hours inside a seven-hour day — the gaps are scheduled by the work itself, which is why the billable share starts at half.
The preset below starts billable time at 50%: hands-on time bills, but turnaround, notes and laundry do not. The numbers are starting presets, not a survey: a $44,000 target income, $3,400 a year of expenses — oils and laundry, table care and equipment, insurance, licensing and booking software are the shape of it — and 50% billable time. With those starting numbers the calculator lands near $72 an hour.

Costs massage therapists forget to put in the rate
- Turnaround minutes. Room reset, fresh linen, notes and a breath between clients run ten to fifteen minutes a session. Across five sessions that is an hour of the day nobody paid for.
- Laundry and consumables. Oils, balms, towels and linen are consumed every session and washed every day. Small per client, relentless per year.
- Looking after the instrument. The tool of this trade is your body. Your own treatment, physio and strength work are maintenance costs of staying able to work at all — budget them like equipment servicing, because they are.
- No-shows and late cancellations. An empty table at short notice cannot be resold, and hands that were rested for it still lose the slot. A cancellation policy helps; the rate has to absorb the rest.
- Licensing, insurance and training. Professional cover, licence renewals where they apply, and the courses that keep techniques current are the cost of being bookable — they belong in the year's expenses, not your pocket.
How this calculator works
Start with the hours you can genuinely sell. Take 52 weeks, subtract your vacation weeks, multiply by your hours per week, then multiply by your billable percentage. With the massage therapist presets — four weeks off, 40 hours a week, 50% billable — that is 960 billable hours a year: the hands-on hours left once turnaround, notes and laundry have taken theirs — about four hands-on hours in a working day, which is the honest physical ceiling this trade runs on.
Next, work out what those hours must bring in. Add your desired income and your annual business expenses together — $47,400 on the presets — gross the total up for tax by dividing by one minus your tax rate — at a 25% estimate, divide by 0.75 to get $63,200 — then add your profit margin to reach $69,520 and divide by your billable hours. That final number, $72, is the rate below which the year stops adding up.
Now convert it into the units clients buy. A sixty-minute session prices at $72. A ninety-minute session is $108. A half day of treatments at about three hands-on hours is $216. Quote the session price as the session price — but build it from these hours, so the rate respects the cap your body sets instead of pretending the diary can hold eight hands-on hours a day.
