Tour Guide hourly rate calculator

This free calculator works out the hourly rate a freelance tour guide should charge, starting from the income you need — then converts it into the per-tour and per-day prices clients actually book. Tours are the unit: a half day here, a full day there, in a season that opens and closes with the weather and the visitors. With the honest presets below it lands near $75 an hour, $603 for a full tour day: a half-day tour at four hours prices near $300, and a two-hour walking tour near $150.

The pricing reality for freelance tour guides

Guiding is seasonal work in its purest form. The peak months are packed — tours back to back, groups waiting — while the shoulder months thin out and the off-season can be close to silent. The weather votes on every week: a rained-off tour earns nothing, but the year's costs keep arriving on schedule. The rate has to be earned in the season and survive the winter.

One line on staying legal, because it belongs in the numbers: many cities, sites and parks require a guide license, site permits or association membership before you can charge for a tour, and renewals cost money every year. The $2,400 expenses preset below carries them — license and permit fees, insurance, transport to meeting points, booking software and admin. If your patch requires a license you do not yet hold, that is a cost of starting, not an optional extra.

A guide’s hour wears two very different shapes. The private tour sells the hour once, at its full value, to one party. The scheduled tour sells the same hour by the seat — a per-person price that looks small until the group forms, and worthless if it does not. Group size is capped from both directions at once: site rules limit numbers at the fragile places, and a group grown too large simply cannot hear you, gather round, or be kept together at a crossing. So the per-person price is really a judgement about the likely group, made before the season starts. Set it for the group you can actually gather and lead well, and the arithmetic of the hour takes care of itself.

The preset below starts billable time at 45%: tours bill, but research, route-checking, marketing, travel to meeting points and weather-lost days take the rest. The numbers are starting presets, not a survey: a $42,000 target income, $2,400 a year of expenses and 45% billable time. With those starting numbers the calculator lands near $75 an hour.

Costs tour guides forget to put in the rate

  • Research and route prep. New tours are walked, timed and fact-checked before they are sold, and old ones are re-walked when streets and stories change. None of it bills until the tour does.
  • Licenses, permits and insurance. Renewals arrive every year whether the season was good or not. They are part of the cost of being allowed to guide at all.
  • Travel to the start. Groups meet at landmarks, stations and hotels — rarely at your door. Getting there, early, is part of the working day.
  • Weather and cancellations. A tour cancelled for storms, or a group that never shows, still cost the prep, the travel and the diary slot it blocked.
  • Seasonal silence. Off-season weeks may bill almost nothing. The rate earned at the peak has to carry the quiet months without drama.
The maths

How this calculator works

Start with the hours you can genuinely sell. Take 52 weeks, subtract your vacation weeks, multiply by your hours per week, then multiply by your billable percentage. With the tour guide presets — four weeks off, 40 hours a week, 45% billable — that is 864 billable hours a year: the guiding hours left once research, travel and the weather-lost days have taken theirs.

Next, work out what those hours must bring in. Add your desired income and your annual business expenses together — $44,400 on the presets — gross the total up for tax by dividing by one minus your tax rate — at a 25% estimate, divide by 0.75 to get $59,200 — then add your profit margin to reach $65,120 and divide by your billable hours. That final number, $75, is the rate below which the year stops adding up.

Now convert it into the units clients buy. A two-hour walking tour prices at $150. A half-day tour at four hours is $300. A full day — eight hours of guiding — is the $603 day rate, and that day rate is the honest unit for private full-day bookings. Quote the tour price as the tour price — but build it from these hours, and let the off-season be quiet without panic: the rate already knows about it.

Run the seat maths. A two-hour walking tour at $25 a person with ten guests returns $250 for the slot — comfortably more than the $150 the same two hours earn as a private booking. With four guests it returns $100, which is less than the private price for identical work. The break-even sits at six guests: six times $25 is exactly the $150 the slot is worth privately. Below that line, a departure is a marketing expense wearing a tour’s clothes. Above twelve guests — $300 for the slot — the answer is a second departure, not a bigger crowd, because the thirteenth guest is always the one who cannot hear you.

Tour Guide rate questions

Per tour for set routes with set times, per day for private bookings — and build both from the hour. On these presets a two-hour walking tour is $150, a four-hour half day is $300 and a full day is $603. One consistent hour underneath keeps a short tour from quietly subsidising a long one.
Because the season decides. Peak weeks bill almost fully, but research, route-checking, marketing, travel to meeting points and rained-off days bill nothing — and the off-season can bill close to zero for weeks at a time. Averaged across the year, 45% is a realistic start.
In many places, yes — cities, historic sites and national parks commonly require a guide license, permits or both, and the rules are local, so check yours before selling a tour. The fees are a normal business cost: they sit inside the $2,400 expenses preset here, alongside insurance and transport.
Only with your eyes open about who carries the risk. On a pay-what-you-want tour the guide funds everything — the licence, the marketing, the two hours — and the guests decide afterwards what it was worth. The slot needs to return the $150 a private booking would pay for it: across fifteen guests, that is an average of $10 a head, on every tour, in all weathers. If your average settles at $8 a head, the slot returns $120 and the model works only as a shop window for your private bookings — which can be a legitimate reason to run one, provided you have priced it as advertising, not as income.
