Carpet Cleaner hourly rate calculator

This free calculator works out the hourly rate a freelance carpet cleaner should charge, starting from the income you need — then converts it into the per-room prices clients actually book. Rooms are the unit: the price list says per room, but the day runs on hours, and the honest price follows the time the room takes — its size, its furniture and the state of the carpet. With the honest presets below it lands near $70 an hour, $562 for a full day: one room at about an hour prices near $70, three rooms at about two and a half hours near $175, and a whole house at about four hours near $280.

The pricing reality for freelance carpet cleaners

A carpet clean is booked by the room, but rooms are not units of time. A small, clear bedroom might take forty minutes; the same room with furniture to move and a season of stains can take twice that. The price list says per room while the day runs on hours, and pricing that ignores the difference underpays every heavy room on the round.

Between rooms there is unpaid work: loading and unloading the machine, filling and emptying it, treating stains before the clean, and driving between properties. A day that looks like six bookings is six cleans plus everything around them.

The preset below starts billable time at 50%: cleaning bills, but travel, setup and machine clean-downs take the rest. The numbers are starting presets, not a survey: a $42,000 target income, $4,000 a year of expenses — the machine and its servicing, cleaning solutions, fuel, insurance and booking admin are the shape of it — and 50% billable time. With those starting numbers the calculator lands near $70 an hour.

Easy to miss

Costs carpet cleaners forget to put in the rate

  • Machine servicing. Pumps, brushes and vacuum motors wear steadily, and a machine out of action in a busy month costs bookings, not just a repair.
  • Solutions and stain treatments. The chemistry scales with the dirt. It is your cost on every job, so it belongs inside the rate, not absorbed quietly.
  • Setup and clean-down. Filling, emptying, rinsing the machine and packing the hoses away bookend every property and appear on nobody's invoice.
  • Furniture moving. Rooms are rarely empty. Moving and replacing furniture is real time, and heavy rooms should be priced for it at booking, not absorbed.
  • Small-job travel. One room still costs a full trip. Without a minimum callout, the smallest jobs become the worst-paid hours of the week.
The maths

How this calculator works

Start with the hours you can genuinely sell. Take 52 weeks, subtract your vacation weeks, multiply by your hours per week, then multiply by your billable percentage. With the carpet cleaner presets — four weeks off, 40 hours a week, 50% billable — that is 960 billable hours a year: the cleaning hours left once travel, setup and clean-downs have taken theirs.

Next, work out what those hours must bring in. Add your desired income and your annual business expenses together — $46,000 on the presets — gross the total up for tax by dividing by one minus your tax rate — at a 25% estimate, divide by 0.75 to get $61,333 — then add your profit margin to reach $67,467 and divide by your billable hours. That final number, $70, is the rate below which the year stops adding up.

Now convert it into the units clients buy. One room at about an hour prices at $70 — and that first hour is also the honest minimum callout, because the trip and the setup do not shrink with the room. Three rooms at about two and a half hours are $175. A whole house at about four hours is $280. Quote the per-room price as the per-room price — but build it from these hours.

Disclaimer: This is a planning estimate, not tax advice. Tax rates, deductions and allowances vary by country, state and business structure. Enter the rate you expect to pay, and check significant decisions with a qualified accountant.
Questions

Carpet Cleaner rate questions

Per room, priced from the hour. Clients count rooms, not minutes — but the price should follow the time a room takes: on these presets, one room at about an hour is $70, three rooms at about two and a half hours are $175, and a whole house at about four hours is $280. Room size and condition set the hours; the hours set the price.
Because the cleaning is only part of the appointment. Driving between properties, loading and setting up the machine, treating stains first, then emptying and cleaning the machine down all take time no client is billed for. Half the week billing is a realistic start.
With a minimum callout, stated at booking. A single room still costs a trip, a setup and a machine clean-down — none of it shrinks with the room. Pricing one room at the full first hour, $70 on these presets, keeps small jobs worth driving to instead of quietly subsidised by the bigger ones.
