Mobile notary hourly rate calculator

This free calculator works out the hourly rate a self-employed mobile notary should charge for their time, starting from the income you need, then builds the appointment fee clients actually pay out of the hour a signing really holds. Clients rarely buy “an hour of notarising”; they buy the appointment — you, at their kitchen table, their office or a hospital bedside, at the hour the deadline demands, journal and stamps in hand. The signing itself may take ten minutes; the appointment is the drive, the wait, the checking and the drive back. With the honest presets below the rate lands near $77 an hour, $615 for a full day — and the appointment built from it: a standard signing appointment at about an hour door to door, $77.

The pricing reality for mobile notaries

An appointment is bought flat and earned across the map. Inside the fee sit the scheduling call, the drive, the identity checks done properly, the signing, the journal entry and the return trip. A fee copied from the notary across town carries all of that whether it covers it or not. Price the hour first, and the appointment fee becomes an assembly: so much of your time and your mileage, at a rate that adds up.

One boundary matters in this trade, and honest pricing respects it: in many places the law caps the fee for the notarial act itself — the signature and the seal. The mobile notary's business is built on what sits around that capped act: travelling to the client, at their hour, and the signing-service work of a full loan package. Those travel and appointment fees are agreed with the client in advance, within whatever your jurisdiction allows. The rate below prices your time; it never inflates the regulated act.

The numbers below are starting presets, not a survey: a $40,000 target income, $8,100 a year of expenses — vehicle and fuel leads by a distance, with website, listings and marketing, printer and scanner, phone and scheduling software, commission, bond and errors-and-omissions insurance, journals, stamps and supplies, and background checks and training — a 22% tax estimate, three weeks of vacation, a 40-hour week and 45% billable time. With those starting numbers the calculator lands near $77 an hour.

Costs mobile notaries forget to put in the rate

  • The car. A mobile notary's office has wheels, and it is usually the largest cost in the business: fuel, tyres, servicing, and the depreciation of a vehicle earning its living in traffic. Notaries who price the appointment and forget the car are spending their profit at the fuel pump.
  • The waiting. Signings start late: a signer still at work, a document with an error, a witness still parking. The appointment fee must assume the appointment runs longer than the signing — priced on the ten minutes with the pen, your rate collapses the first time a closing runs an hour over.
  • The scan-backs. Loan signings end at your desk, not the client's table: scanning the package, checking every initial, and getting it to the courier before the cutoff. That desk time is part of every signing appointment and belongs in its hours.
  • Month-end. Real-estate work clusters brutally — the last days of the month can carry a third of the signings. You cannot bill the quiet middle into existence; the year's appointments must carry the year's costs, which is what the billable percentage is honestly for.
  • The compliance kit. Commission renewals, bond, errors-and-omissions insurance, journals that must be stored for years, stamps, and background checks where your work requires them — each is small; together they are the price of being a notary that clients and title companies can trust. They belong in the expenses line.
The maths

How this calculator works

Start with the hours you can genuinely sell. Take 52 weeks, subtract your vacation weeks, multiply by your hours per week, then multiply by your billable percentage. With the mobile notary presets — three weeks off, 40 hours a week, 45% billable — that is 882 billable hours a year: the signing appointments clients can pay for, once driving, scheduling and scan-backs have taken theirs.

Next, work out what those hours must bring in. Add your desired income and your annual business expenses together — $48,100 on the presets — gross the total up for tax by dividing by one minus your tax rate — at a 22% estimate, divide by 0.78 to get $61,667 — then add your profit margin to reach $67,833 and divide by your billable hours. That final number, $77, is the rate below which the year stops adding up.

Now translate the hour into the fee clients actually buy. A standard signing appointment is about an hour door to door: the drive, the identity check, the signing and the journal, and the trip home or on to the next appointment — $77. A full loan package with scan-backs runs longer; at two hours of your time it is $154, with the travel carried by the same maths. An appointment across the county is not dearer per signature — it is simply more hours, and hours are the honest unit. State the appointment fee before you set out, agree what happens if the signing cannot complete, and the rate does the rest.

Questions

Mobile notary rate questions

The cap governs the notarial act itself — the signature and seal — and this calculator never touches it. A mobile notary's income comes from the appointment around the act: travelling to the client at their hour, and signing-service work such as loan packages, charged as a travel or service fee where your jurisdiction allows and agreed with the client beforehand. Price the hour of your time honestly, keep the regulated fee exactly where the law puts it, and the two never blur.
Because the map eats the day. Driving between appointments, scheduling, scanning packages back and waiting on late signers are real work that no single client bills. Forty-five percent is a realistic start for a mobile practice; a notary based inside a title office or working a small dense patch would set it higher. Set the share and the hours to match your real week — the maths holds at any scale.
They can, and the honest way to do it is time, not mystery: an out-of-hours appointment consumes the hours you would otherwise rest, so a premium built from the same rate — time and a half is a common shape — is defensible and easy to explain. What matters is that the price is stated before you travel. A fee revealed at the kitchen table is a fee argued about at the kitchen table.
