Cake Baker hourly rate calculator

This free calculator works out the hourly rate a freelance custom cake baker should charge, starting from the income you need — then converts it into the per-cake prices clients actually book. The work runs to weekend deadlines: a cake is designed weeks ahead, baked midweek, finished the night before and delivered on the day. With the honest presets below it lands near $73 an hour, $582 for a full day: a three-tier wedding cake at about ten hours of work prices near $730 of labour, and a two-tier celebration cake at about four hours near $292.

The pricing reality for freelance cake bakers

Cake baking is deadline work shaped like a funnel. Consultations and sketches happen weeks out; the baking, filling and covering spread across several days; the decorating peaks the night before; and almost every deadline lands on the same day — Saturday. One large cake occupies the diary, the oven and the fridge across most of a week, while the billable shape of that week looks nothing like five tidy days.

One honesty note on the numbers: the ingredients for a specific cake are usually inside that cake's price — the client is quoted one price for a finished cake, not your hours plus a grocery bill — so they are not carried in the expenses preset below. The $3,600 is kitchen and running costs instead: equipment and tins, boards and boxes, energy, transport, booking software and insurance. When you quote, count the cake's own ingredients into its price on top of the labour this rate gives you.

The preset below starts billable time at 50%: baking, decorating and delivery bill, but consultations, tastings, messages, cleaning and the diary gaps between cakes take the rest. The numbers are starting presets, not a survey: a $44,000 target income, $3,600 a year of expenses and 50% billable time. With those starting numbers the calculator lands near $73 an hour.

Costs cake bakers forget to put in the rate

  • Design and consultation time. Sketches, tastings and long message threads about shades and servings. The cake is quoted once; the designing around it runs for weeks.
  • The staged make. Cooling, levelling, filling, crumb-coating and chilling happen in stages across days. A cake ties up a week, not an afternoon, and the rate has to know it.
  • Delivery and assembly. Large cakes travel in separate tiers and are stacked and finished at the venue. The drive, the setup and the steady hands are work.
  • Kit and consumables. Tins, boards, boxes, dowels, colours and tools wear out and run out steadily. Small, constant, and easy to forget.
  • Weekend compression. Everyone marries and celebrates on Saturday. The diary caps how many cakes a week can hold, however long the waiting list is.
The maths

How this calculator works

Start with the hours you can genuinely sell. Take 52 weeks, subtract your vacation weeks, multiply by your hours per week, then multiply by your billable percentage. With the cake baker presets — four weeks off, 40 hours a week, 50% billable — that is 960 billable hours a year: the making and decorating hours left once consultations, deliveries and the gaps between cakes have taken theirs.

Next, work out what those hours must bring in. Add your desired income and your annual business expenses together — $47,600 on the presets — gross the total up for tax by dividing by one minus your tax rate — at a 25% estimate, divide by 0.75 to get $63,467 — then add your profit margin to reach $69,813 and divide by your billable hours. That final number, $73, is the rate below which the year stops adding up.

Now convert it into the units clients buy. A dozen cupcakes at about an hour prices at $73 of labour. A two-tier celebration cake at about four hours is $292. A three-tier wedding cake — design, baking, decorating, delivery and assembly at about ten hours — is $730 of labour, with that cake's ingredients counted into the same quoted price. Quote the cake price as the cake price — but build it from these hours, so the biggest cake of the month pays like the work it is.

Disclaimer: This is a planning estimate, not tax advice. Tax rates, deductions and allowances vary by country, state and business structure. Enter the rate you expect to pay, and check significant decisions with a qualified accountant.
Questions

Cake Baker rate questions

By the cake, built from the hour. Clients buy a finished cake, so quote one price — but work it out from the time: on these presets, a three-tier wedding cake takes about ten hours and prices at $730 of labour, with its ingredients counted into the same quoted price. A cake priced by copying another baker's menu imports their costs instead of covering yours.
Because the making is only part of the week. Consultations, tastings, sketches, delivery runs and the gaps while cakes cool, set and wait their turn all take hours that never appear on an invoice. Half the week billing is a realistic start for custom work — ready-made counter stock is a different business.
No — a cake's ingredients belong inside that cake's quoted price, where they scale with the cake. The hourly rate carries your time plus the running costs in the $3,600 preset: kit, boards and boxes, energy, transport and insurance. Mixing ingredients into the rate makes simple cakes subsidise the ones filled with expensive fruit and chocolate.
