Wedding DJ hourly rate calculator

This free calculator works out the hourly rate a freelance wedding DJ should charge, starting from the income you need — with the whole event day counted, not just the hours the dancefloor sees. A wedding looks like four hours of music from the guests’ side of the booth; from yours it is load-in, setup, soundcheck, the ceremony, the reception, the announcements and requests, pack-down and the drive home. With the honest presets below it lands near $110 an hour, $881 for a full day — and a full wedding day priced honestly: nine hours door to door comes to $990 of your labour.

The pricing reality for freelance wedding DJs

Couples buy a package, not an hourly rate: one number for “the night”, compared against other DJs’ packages with no visibility of what sits inside either. That makes the package a promise built out of hours the client never counts. Your job when pricing is to count them yourself — the consultation and playlist planning in the weeks before, the venue call, the two hours of load-in and soundcheck before the first guest arrives, and the pack-down after the last song, when the venue wants its room back.

The second reality is concentration. The work crowds into Friday and Saturday nights and a wedding season, while the costs — gear payments, music subscriptions, insurance, vehicle — run all year. A rate built on a tidy forty-hour office week would quietly assume income from hours this trade does not have. The presets below use a thirty-hour week and a 50% billable share: the event days bill, the weekday planning, marketing and maintenance that fill the diary around them do not.

The numbers below are starting presets, not a survey: a $46,000 target income, $11,400 a year of expenses — the decks, speakers and lighting lead, carried with backup equipment, music libraries and licences, vehicle costs, insurance and wedding-platform marketing — a 22% tax estimate and half the week billable. With those starting numbers the calculator lands near $110 an hour.

Costs wedding DJs forget to put in the rate

  • Backup equipment. A second laptop, a spare speaker, duplicate cables. The night a main rig fails with no backup is the night the business ends — the spare gear is not paranoia, it is a cost of every booking, and it belongs in the rate.
  • Planning and consultation hours. The timeline call, the playlist meeting, the venue liaison, the couple’s twenty must-play and do-not-play songs. It happens weeks before the event and appears in no package description, but it is hours of skilled work.
  • Load-in, setup and soundcheck. Typically two hours before the first guest: carrying, rigging, lighting, line checks, coordinating with the venue. Clients price the party from doors-open; your day starts long before it.
  • Music libraries and licences. The subscriptions and record pools that keep a library current renew through the quiet months too, whether or not a wedding is booked that week.
  • The drive home at 1am. Vehicle, fuel and the simple fact that the working day began at noon. Travel to distant venues is work time even when nobody is dancing yet.
The maths

How this calculator works

Start with the hours you can genuinely sell. Take 52 weeks, subtract your vacation weeks, multiply by your hours per week, then multiply by your billable percentage. With the wedding DJ presets — three weeks off, 30 hours a week, 50% billable — that is 735 billable hours a year: the event-day hours clients can pay for, once the planning, marketing and maintenance have taken theirs.

Next, work out what those hours must bring in. Add your desired income and your annual business expenses together — $57,400 on the presets — gross the total up for tax by dividing by one minus your tax rate — at a 22% estimate, divide by 0.78 to get $73,590 — then add your profit margin to reach $80,949 and divide by your billable hours. That final number, $110, is the rate below which the year stops adding up.

Now convert the rate into the unit couples actually buy: the event. A full wedding day — load-in to pack-down, roughly nine hours door to door — carries $990 of labour at this rate; a shorter reception-only booking of five hours carries $550. Quote the package as one fixed price built on those hours, and write down what the package includes — the hours covered, the planning call, the lighting — so an extra hour requested on the night is a priced decision, not an awkward one.

Disclaimer: This is a planning estimate, not tax advice. Tax rates, deductions and allowances vary by country, state and business structure. Enter the rate you expect to pay, and check significant decisions with a qualified accountant.
Questions

Wedding DJ rate questions

Quote per event — that is the unit couples compare — but build the event price from your hours, counting door to door rather than dancing time. The package is a fixed price standing on an hourly floor: if the timeline grows, the price has something honest to grow from. Charging a visible hourly rate for a wedding invites clients to trim the wrong hours — the soundcheck is not the place to save money.
Because a wedding DJ’s week is two different jobs. The event days bill; the consultations, playlist planning, venue calls, marketing and gear maintenance that surround them do not, and the bookings themselves cluster on two nights a week. Fifty percent of a thirty-hour week is a realistic start for a wedding-led practice. If weekday corporate work fills your calendar, your share will honestly run higher — set the number that matches your diary.
Decide it in writing before the enquiry arrives: the hours covered from load-in to pack-down, the planning conversation, your standard lighting and any second setup for a separate ceremony space. Everything beyond that — extra hours, an additional room’s system, travel past your usual radius — becomes a named extra with a price, agreed while everyone is calm. The package boundary is what stops a fixed price quietly becoming an open-ended one.
