HVAC Technician Hourly Rate Calculator
This free calculator works out the hourly rate a self-employed HVAC technician should charge for their time, starting from the income you need, then builds the call-out charges, service visits and install prices clients actually pay out of the hours the work really holds. Clients rarely buy “an hour of HVAC”; they buy the boiler that fires on the coldest morning and the cooling that holds through August — diagnosis that finds the real fault, work that is safe and certified, and a system handed over running. The units, parts and refrigerant are materials, billed as their own line; the rate prices your diagnostics and your hours. With the honest presets below the rate lands near $110 an hour, $883 for a full day — and the jobs built from it: a diagnostic call-out at an hour and a half door to door, $166 — a full system install at two days, $1,767 of labour — and the annual service visit at one hour, $110.
The pricing reality for HVAC technicians
A heating or cooling job is bought flat and earned in diagnosis as much as in fitting. Inside the price sit the fault-finding, the safe isolation, the install or repair, the testing and the handover — and the call-backs that honest workmanship still occasionally owes. A rate copied from the technician across town carries all of that whether it covers it or not. Price the hour first, and call-outs, services and installs become assemblies of the same honest number.
Equipment and parts are separate honesties. Units, pumps, valves and refrigerant are bought for the job and billed as their own line — at cost or with a stated mark-up, agreed up front. An HVAC rate with a boiler buried inside it is meaningless the day the job is a thermostat. Your rate prices diagnosis, skill and certified hands; the hardware is the client’s, on the client’s line of the invoice.
The numbers below are starting presets, not a survey: a $62,000 target income, $17,500 a year of expenses — vehicle and fuel leads, with diagnostic tools and gauges, certification and licensing fees, liability insurance, van consumables, training and recertification, marketing and admin, and phone and dispatch software — a 25% tax estimate, four weeks of vacation, a 40-hour week and 55% billable time. With those starting numbers the calculator lands near $110 an hour.

Costs HVAC technicians forget to put in the rate
- The diagnostic half that finds nothing simple. A call-out that ends in a control board and a return visit still consumed the drive, the gauges and the hour. A minimum call-out charge, stated at booking, is what keeps honest diagnosis from becoming unpaid consultancy.
- The certification renewals. Refrigerant handling, gas work and manufacturer accreditations expire on a schedule — requirements vary by place and by system, but the courses, exams and renewal fees recur everywhere. They are expenses in the presets, and the rate is only defensible while the paperwork behind it is current.
- The van stock that walks away. Valves, pumps, thermostats and fittings carried ‘just in case’ get fitted, forgotten and unbilled. Stock discipline — every part logged to a job — is what stops your van becoming the client’s free warehouse.
- The call-back in the cold snap. The busiest week of the year is when last year’s repairs get tested. Honest warranty call-backs cost hours at exactly the moment hours are dearest; the margin and the billable share are how the rate pre-pays them.
- The tools that measure. Manifolds, leak detectors, combustion analysers and vacuum pumps are precision instruments that drift, calibrate and break. Their calibration and replacement are paid by the rate or not at all — and diagnosis with a lying gauge is worse than none.
How this calculator works
Start with the hours you can genuinely sell. Take 52 weeks, subtract your vacation weeks, multiply by your hours per week, then multiply by your billable percentage. With the HVAC presets — four weeks off, 40 hours a week, 55% billable — that is 1,056 billable hours a year: the diagnosing, installing, servicing and testing clients can pay for, once travel, quoting, paperwork and warranty call-backs have taken theirs.
Next, work out what those hours must bring in. Add your desired income and your annual business expenses together — $79,500 on the presets — gross the total up for tax by dividing by one minus your tax rate — at a 25% estimate, divide by 0.75 to get $106,000 — then add your profit margin to reach $116,600 and divide by your billable hours. That final number, $110, is the rate below which the year stops adding up.
Now translate the hour into the prices clients actually buy. A full day is the day rate, $883. A diagnostic call-out runs about an hour and a half door to door — $166 — charged as a stated minimum, because the travel, the testing and the verdict are the product. A full system install at about two days is $1,767 of labour, with the unit and parts on their own line. The annual service visit is about an hour, $110 — small, regular and the work that quietly fills next winter’s diary. What never works is copying the call-out fee from the firm across town: their patch, their van and their warranty are not yours.
