PPC specialist hourly rate calculator

This free calculator works out the hourly rate a freelance PPC specialist should charge, starting from the income you need — then puts that number to its real job: the floor check underneath the two ways ads management is usually sold, a flat monthly fee or a percentage of ad spend. Either model is only as honest as the hours inside it. With the presets below it lands near $115 an hour, $916 for a full day — so an account that honestly takes ten hours a month to run needs a fee near $1,150, whatever shape that fee is wrapped in.

The pricing reality for freelance PPC specialists

PPC is sold as performance and billed as time. The client sees budgets, dashboards and returns; your week is builds, restructures, search-term pruning, tests and calls. Two pricing models dominate — a percentage of the client’s ad spend, or a flat monthly management fee — and both can quietly detach from the hours the account actually takes. A percentage fee grows when the budget grows, whether or not the work did. A flat fee stays flat while the account sprawls. Neither model is dishonest in itself; both are dishonest the moment nobody checks them against the hours.

That check is what the hourly rate is for. It is not necessarily the number you quote — it is the floor under whatever you quote. Multiply the honest monthly hours by this rate and every fee model has to clear it: a management fee below the floor is a pay cut you agreed to without noticing, and a percentage fee below the floor means the account pays you least exactly when you run it best. The floor also exposes the arrangement every specialist recognises — the small account priced like a favour that quietly takes flagship hours.

The numbers below are starting presets, not a survey: a $78,000 target income, $8,600 a year of expenses — the management and ad-account tool stack leads, alongside reporting, training and certifications, insurance and marketing — a 24% tax estimate and 60% billable time. With those starting numbers the calculator lands near $115 an hour.

Costs PPC specialists forget to put in the rate

  • Keeping current with the platforms. Interfaces, campaign types, policies and betas change constantly, and the certifications sit on top. The hours spent staying expert in tools that rearrange themselves every quarter are real, weekly and almost never billed to anyone.
  • Reporting clients actually read. A dashboard link is cheap. The monthly write-up that explains what happened, what you changed and what happens next is senior time — and “reporting included” is a time cost wearing a free label.
  • Client calls and strategy time. The weekly call, the budget conversation, the quick question that becomes a forty-minute restructure. Management clients buy judgement, and judgement happens largely on calls nobody logs.
  • Firefighting. Disapproved ads, billing holds, a feed that broke overnight, a tracking tag a redesign quietly removed. Urgent, skilled work — and usually absorbed silently because the fee was agreed before any of it happened.
  • The tool stack, per account. Call tracking, feed management, reporting and monitoring licences creep with every account you add. Carried in your head as one flat “software” figure, they are undercounted every single year.
The maths

How this calculator works

Start with the hours you can genuinely sell. Take 52 weeks, subtract your vacation weeks, multiply by your hours per week, then multiply by your billable percentage. With the PPC presets — four weeks off, 38 hours a week, 60% billable — that is 1,094 billable hours a year: the hours the accounts themselves can pay for, once calls, reporting and platform-watching have taken theirs.

Next, work out what those hours must bring in. Add your desired income and your annual business expenses together — $86,600 on the presets — gross the total up for tax by dividing by one minus your tax rate — at a 24% estimate, divide by 0.76 to get $113,947 — then add your profit margin to reach $125,342 and divide by your billable hours. That final number, $115, is the rate below which the year stops adding up.

Now use it the way PPC is actually sold. Ten honest hours of monthly management price at $1,150 — so a flat fee under that is a discount you chose, whether you noticed choosing it or not. A percentage-of-spend fee gets the same check: purely as an illustration — not a going rate, just the arithmetic — if a percentage arrangement on $8,000 of monthly spend produced an $800 fee for those ten hours, the floor says $1,150, and the $350 difference comes out of your income, not the client’s results. The usual fix is a minimum monthly fee set at the floor, with the percentage running above it. Project work prices off the same rate: a two-day account audit and rebuild, sixteen hours, is $1,840, and a half-day optimisation block is $458.

Questions

PPC specialist rate questions

Either can work — the test is the same. Estimate the honest monthly hours the account takes, multiply by your rate, and that is the floor the fee has to clear under any model. A percentage of spend has one real virtue: the fee grows as the account grows. It has one real trap: it grows with the budget whether or not the work did, and it can reward bigger spend rather than better returns. A flat fee is predictable and clean, and silently shrinks as the account sprawls. Many specialists run a flat minimum fee — set at the floor — with a percentage above it, which is simply both models with the floor check built in.
Because the campaigns are only part of the week. Client calls, reporting, proposals, firefighting disapprovals and billing holds, and the continuous work of keeping current with platforms that change their interfaces, policies and campaign types all year — none of it bills by the hour, and all of it is the job. Sixty percent is a realistic start for a solo specialist. If calls and reporting eat more of your week than that, lower the share and let the rate tell the truth; a floor built on hours you do not have is not a floor.
Theirs, wherever the platform allows it. Spend on the client’s own ad account and payment method keeps the account — and its history, audiences and data — the client’s property if you ever part ways, and it keeps your books clean: their media budget never becomes your revenue or your tax headache. Your fee is for management, charged separately and visibly. An arrangement where spend runs through you blurs both the money and the ownership, and unwinding it later costs more goodwill than setting it up properly ever did.
