Gardener Hourly Rate Calculator

This free calculator works out the hourly rate a self-employed gardener should charge for their time, starting from the income you need, then builds the visit, the round and the full overhaul prices clients actually pay out of the hours the work really holds. Clients rarely buy “an hour of gardening”; they buy a garden that stays ahead of itself — lawns cut before they shag, hedges held to their line, beds clean — kept that way on a rhythm that repeats without anyone renegotiating it. Plants, mulch and materials are the client’s own line; the rate prices your hands, your machines and your hours. Note what this page prices: the maintenance round — recurring visits, week in, season out. Landscape design is a different trade, priced on the designer’s page; you sell the seasons, they sell the plan. With the honest presets below the rate lands near $60 an hour, $483 for a full day — and the work built from it: a fortnightly maintenance visit at about an hour and a half, $91 — a two-hour visit at $121 — and a full-day overhaul at $483.

The pricing reality for gardeners

A gardening round is bought by the visit and earned by the route. Inside the visit price sit the cutting, the edging, the beds, the blowing-down and the loading of green waste — and between visits sits the travel that decides whether the round makes money at all. Two gardeners with identical hours earn differently on different routes: density is profit. A rate copied from the gardener across town carries their round’s geography whether it covers yours or not. Price the hour first, and visits become assemblies of the same honest number.

Maintenance and design are different trades that share a garden. The designer sells a plan once — layout, planting schemes, the drawing. You sell the recurring work that keeps a garden true to itself: the round. When a regular client asks for a redesign or a new planting scheme, that is design-shaped work; price it as its own day-rate job — the landscape designer’s calculator shows how that trade prices it — and never let it dissolve into the visit price, where a one-off project would be maintenance-priced by accident.

The numbers below are starting presets, not a survey: a $38,000 target income, $9,400 a year of expenses — van and fuel leads, with mowers, strimmers, hedge cutters and tools, green-waste disposal, liability insurance, protective kit and consumables, phone, booking and admin, and training — a 25% tax estimate, four weeks of vacation, a 40-hour week and 60% billable time. With those starting numbers the calculator lands near $60 an hour. The presets are annual because the round is: spring and autumn run hot, winter runs thin, and the rate has to carry the year, not the busiest month.

Costs gardeners forget to put in the rate

  • The road between gardens. Unpaid windscreen time is the round’s silent tax. A tight route at the same hourly rate out-earns a scattered one by hours a week — the billable share in the presets is where that truth lives.
  • The green waste. Every visit fills the van with clippings, prunings and leaves that must be loaded, hauled and tipped for a fee. Disposal is in the expenses presets; the loading minutes are inside the visit’s hours — or they are nobody’s, which means yours.
  • The machines’ upkeep. Blades, strimmer line, two-stroke oil, servicing and the mower’s winter overhaul are paid by the rate or by your weekends. Machinery that is maintained in January earns in April.
  • The rained-off week. A wet week does not cancel the grass; it compresses it into the days that follow, longer and heavier. Round pricing needs the slack the margin provides, because the lawn will not accept a note about the weather.
  • The spring surge. New clients arrive in the busiest month, all wanting quotes, starts and first visits at once. Quoting time in April is real time; a round that is full should say so, and charge the tidy-up day that starts a neglected garden honestly.
The maths

How this calculator works

Start with the hours you can genuinely sell. Take 52 weeks, subtract your vacation weeks, multiply by your hours per week, then multiply by your billable percentage. With the gardener presets — four weeks off, 40 hours a week, 60% billable — that is 1,152 billable hours a year: the cutting, edging, weeding and clearing clients can pay for, once travel between gardens, quoting, machinery care and rained-off days have taken theirs.

Next, work out what those hours must bring in. Add your desired income and your annual business expenses together — $47,400 on the presets — gross the total up for tax by dividing by one minus your tax rate — at a 25% estimate, divide by 0.75 to get $63,200 — then add your profit margin to reach $69,520 and divide by your billable hours. That final number, $60, is the rate below which the year stops adding up.

Now translate the hour into the prices clients actually buy. The standard visit on a fortnightly round is about an hour and a half in the garden — $91 — priced from the hour, so it holds while the garden’s size and the visit’s contents hold. A larger garden at two hours is $121. A full-day overhaul — the neglected garden’s reset of cutting back, clearing and hauling — is the day rate, $483, and a half-day hedge and tidy is $241. What never works is copying the per-visit price from the gardener across town: their route, their gardens and their disposal run are not yours.

Questions

Gardener rate questions

Charge the client per visit — it is the unit they budget by — but build the visit from your hours and re-measure it when the garden changes. On these presets an hour and a half is $91. The visit price holds while the garden’s size, the visit’s contents and the season’s growth hold; when a client adds beds, a hedge or a second lawn, the visit gets longer and its price moves, stated at the time, not absorbed in silence.
The round slides; it does not vanish. State the arrangement when the client joins: visits move within the round’s rhythm, growth weeks may run longer, and the price is an annual rhythm, not a per-cut transaction. Clients accept weather clauses from gardeners without blinking — it is the one trade where the sky is visibly a partner. What you cannot do is promise fixed weekdays you do not control.
No — they are two trades that share an address. Design is the one-off plan: layout, levels, planting schemes, priced by the project on the designer’s own maths. Maintenance is the recurring round this page prices. Many gardeners do both, and that is fine — as long as each is priced as itself. Design hours folded into a visit price are the most common way a good round quietly loses money.
