Life coach hourly rate calculator

This free calculator works out the hourly rate a life coach should charge, starting from the income you need — not from a session price copied off another coach's website. It adds the preparation, notes and programme building coaching quietly carries, divides by the hours that actually hold clients, and then converts the result back into per-session and programme terms, because that is how coaching is really bought.

The pricing reality for freelance life coaches

Coaching is sold by the session, by the package and by the multi-month programme, and each model hides a different cost. Per-session pricing hides the work around the hour: the preparation before it, the notes after it and the messages a client sends between sessions. Programme pricing hides the building: the worksheets, assessments and session plans are written once but rarely priced at all. Package pricing hides the discovery calls — the free conversations that fill the diary before anyone has paid for anything.

That invisible work is where coaching rates quietly fall apart. A one-hour session sits inside preparation, note-writing and follow-up for most coaches, and programme materials, marketing and practice admin take their share of the week before a single client is seen. That is why the preset below starts billable time at 45% rather than the 100% a per-session price silently assumes: the session is the product, but it is not the whole job. Coaches who also sell structured mentoring or training can run the same maths with the business coach presets for that side of the practice.

The numbers below are starting presets, not a survey: a $65,000 target income, $4,500 a year of expenses — a realistic shape for certification renewals, supervision, scheduling and session platforms — and 45% billable time. With those starting numbers the calculator lands near $118 an hour. Change any figure to match your own books; the point is not the preset, it is that every cost gets counted before the programme price is quoted, not discovered after the third cohort.

Costs life coaches forget to put in the rate

  • Discovery calls. Free fit calls fill the diary before a client commits. They are marketing, and they are necessary — but an hour of them is an hour the paid sessions have to carry.
  • Session preparation and notes. Reviewing the last session, planning the next and writing up notes is part of the coaching, and it happens outside the paid hour unless you price it in.
  • Between-session support. The check-in messages and voice notes clients send midweek are real coaching time in small pieces. Uncapped, they quietly stretch a one-hour session across the whole week.
  • Programme building. Worksheets, assessments and session plans are built once and delivered many times. Building them is work with a cost, even when no client is in the room.
  • Supervision and credential upkeep. Supervision, your own coaching and certification renewals keep the practice legitimate and improving. They are costs of staying a coach, not hobbies.
The maths

How this calculator works

Start with the hours you can genuinely sell. Take 52 weeks, subtract your vacation weeks, multiply by your hours per week, then multiply by your billable percentage. With the life coach presets — four weeks off, 40 hours a week, 45% billable — that is 864 billable hours a year, well under the 2,080 hours a salaried job is counted on. That gap is why dividing a target salary by 2,080 always underprices coaching.

Next, work out what those hours must bring in. Add your desired income and your annual business expenses together — $69,500 on the presets — gross the total up for tax by dividing by one minus your tax rate — at a 25% estimate, divide by 0.75 to get $92,667 — then add your profit margin to reach $101,933 and divide by your billable hours. That final number, $118, is the rate below which the year stops adding up.

Now convert it back into the units clients buy. One session at the preset rate is $118. An eight-session programme carries eight hours of session time — $944 — before a single hour of preparation or between-session support is counted, and a month of weekly sessions prices at $472. These are conversions of this example, not market rates — the point is the direction of travel. Take any package offer and divide it by every hour it truly contains: a $600 programme holding ten hours of your time pays $60 an hour, however premium the branding around it.

Disclaimer: This is a planning estimate, not tax advice. Tax rates, deductions and allowances vary by country, state and business structure. Enter the rate you expect to pay, and check significant decisions with a qualified accountant.
Questions

Life coach rate questions

Count everything the programme contains, not just the calls: the sessions themselves, preparation and notes, between-session support, and any materials you build for it. At the preset rate of $118 an hour, an eight-session programme is $944 of session time alone; if preparation and support add two more hours across the programme, the honest price is nearer $1,180. Programmes priced by counting only the call hours discount exactly the work that makes the coaching effective — and they fill the diary with clients who were undercharged from day one.
A short free discovery call is a reasonable marketing cost, and the rate already makes room for it: with a 45% billable preset, more than half the working week is unpaid time — discovery calls, programme building and admin — and the session rate is built to carry that time. What quietly breaks the model is the free call that turns into free coaching. Keep discovery to fit, logistics and the shape of the work; if a prospect needs a full session to decide, charge for the session.
Programmes suit most ongoing coaching: goals run over months, and a programme built from total hours multiplied by your rate gives the client a committed path and you a predictable diary. Per-session pricing suits trial periods and clients whose needs you cannot yet predict. Either way the floor underneath is the same number from this calculator — a month of weekly one-hour sessions at the preset rate is $472, and a programme quoted far below the hours it will actually take is just an hourly discount with a friendlier name.
