Online Business Manager hourly rate calculator

This free calculator works out the hourly rate an online business manager should charge, starting from the income you need — not from a virtual assistant’s rate with a grander title. It counts the planning, coordination and follow-up that fill a manager’s week alongside the hours clients reserve, divides by the hours you can actually bill, and converts the result into the monthly retainer terms online business managers actually sell.

The pricing reality for freelance online business managers

An online business manager sells ongoing management: the launches planned, the team coordinated, the numbers watched, the loose ends chased — inside someone else’s business, every week. The work does not arrive as projects with an end date; it arrives as a standing responsibility, which is why the retainer is the default shape of the trade and the hourly rate is the maths underneath it.

The preset below starts billable time at 60% — higher than most trades on this site, because reserved management hours are the product and clients book them in blocks. The unbilled 40% is your own business: marketing, discovery calls, and the admin of running a practice across several clients. The work sits a step above the virtual assistant presets — same admin family, different responsibility: a virtual assistant completes tasks, a manager owns the plan the tasks belong to, and the rate has to reflect the owning.

The numbers below are starting presets, not a survey: a $72,000 target income, $2,800 a year of expenses — tool seats across client stacks, insurance and your own systems are the shape of it — and 60% billable time. With those starting numbers the calculator lands near $95 an hour. Change any figure to match your own books; the point is that the coordination layer gets counted before the retainer is quoted. How to structure the retainer itself — hours reserved, overage, rollover — is covered in the retainers guide.

Easy to miss

Costs online business managers forget to put in the rate

  • Tool seats in every client’s stack. Each client runs a different project tool, chat app and file system, and being inside all of them is a standing cost of the trade.
  • Insurance and proper contracts. Managing other people’s businesses means other people’s mistakes can land near you. Professional cover and a real agreement are not overheads to skip.
  • The coordination layer. Status chasing, meeting prep and the follow-up after every call are the work clients value most and see least. They belong in the billable share, not in your evenings.
  • Keeping current across platforms. Your clients’ tools change constantly, and staying fluent in all of them is unpaid research the practice depends on.
  • Context switching. Three or four businesses in one head means every switch costs re-orientation time. A full calendar of reserved hours still leaks fragments between clients.
The maths

How this calculator works

Start with the hours you can genuinely sell. Take 52 weeks, subtract your vacation weeks, multiply by your hours per week, then multiply by your billable percentage. With the online business manager presets — four weeks off, 40 hours a week, 60% billable — that is 1,152 billable hours a year, well under the 2,080 hours a salaried job is counted on. The 60% share is the honest shape of this trade: the reserved hours are the product, and the rest of the week runs your own practice.

Next, work out what those hours must bring in. Add your desired income and your annual business expenses together — $74,800 on the presets — gross the total up for tax by dividing by one minus your tax rate — at a 25% estimate, divide by 0.75 to get $99,733 — then add your profit margin to reach $109,707 and divide by your billable hours. That final number, $95, is the rate below which the year stops adding up.

Now convert it into the unit this trade actually sells. A day at the preset rate is $762, but the retainer is the real unit: twenty reserved hours a month is $1,900, thirty is $2,850. Price the retainer from the rate, state the hours it reserves, and bill extra hours at the same rate — a retainer is prepaid certainty for the client, not a bulk discount on you.

Disclaimer: This is a planning estimate, not tax advice. Tax rates, deductions and allowances vary by country, state and business structure. Enter the rate you expect to pay, and check significant decisions with a qualified accountant.
Questions

Online Business Manager rate questions

By monthly retainer, almost by definition of the job: the client reserves a block of management hours — twenty hours a month at the preset rate is $1,900 — and the relationship runs continuously. Hourly billing survives underneath, for overage beyond the reserved block and for one-off projects, priced at the same rate. A retainer sold without the hourly maths behind it is just a number someone felt sounded right.
Scope and responsibility. A virtual assistant executes tasks someone else has defined; an online business manager plans the work, coordinates the people doing it and owns the outcome — which is why the presets on this page target a higher income and land at $95 an hour against $58 on the virtual assistant presets. If a client is really buying task execution, price it as such; if they are buying management, the plan-owning has to be in the rate.
Fewer than the hours suggest. The presets produce 1,152 billable hours a year — roughly 96 a month — so three twenty-hour retainers fill 60 of them and look comfortable on paper. The real limit is attention: each client’s business lives in your head between calls, and a fourth or fifth context costs more than its hours. Take the retainer count your coordination quality survives, not the one the arithmetic allows.
