Travel Agent hourly rate calculator
This free calculator works out the hourly rate an independent travel agent — a travel advisor working for themselves — should charge for their time, starting from the income you need, then builds the per-trip planning fees clients actually pay out of real planning hours. Clients rarely buy “an hour of travel advice”; they buy a trip that fits, booked cleanly, with someone to call when it changes. With the honest presets below the rate lands near $70 an hour, $562 for a full day — and the conversions that fee is built from: a simple return trip is about two hours of research and booking, a $140 planning fee, a multi-stop itinerary about six hours, $420 — with any supplier commission disclosed separately, never quietly counted twice.
The pricing reality for independent travel agents
Trips are bought flat and earned by the hour, and the two only agree if the planning fee was built from the planning hours in the first place. An itinerary quoted from the last itinerary assumes the same route, the same travellers, the same tolerance for layovers — and the trip in front of you has its own opinions. Inside the flat fee sit the research, the supplier calls, the fare rules read properly, the documents checked and the changes when a client’s plans move. A fee copied from a competitor’s menu carries all of that whether it covers it or not. Price the planning hour first, and the trip fee becomes an assembly: so many hours of your judgement, at a rate that adds up.
This trade has a second income stream, and honesty about it is the whole pricing story. Suppliers may pay commission on what you book; a planning fee pays for your time and advice whether the trip books or not. The two pay for different things, and the professional shape is to say so plainly: the fee is yours for the work, any commission is disclosed, and a client who walks away with the itinerary and books it themselves has still bought your hours. The presets below use a 60% billable share: research, booking, changes and client conversations bill, and supplier training, marketing and admin take theirs first.
The numbers below are starting presets, not a survey: a $48,000 target income, $9,400 a year of expenses — host agency and accreditation fees lead, with booking systems and software, marketing, insurance, training and supplier education and workspace costs — a 22% tax estimate, four weeks of vacation, a 40-hour week and 60% billable time. With those starting numbers the calculator lands near $70 an hour.

Costs travel agents forget to put in the rate
- The itinerary that books elsewhere. Hours of research can walk out of the door in a screenshot and be booked on a discount site. If planning is always free until a booking lands, the clients who do book fund the ones who never intended to. A planning fee, credited against the trip when it books with you, is the honest shape many independent advisors use.
- The change cascade. One moved flight can rebuild an entire itinerary: connections, transfers, hotels, the tour on day three. Change time is planning time — it belongs in the fee structure or in a stated change fee agreed before the trip, and the one place it cannot live is nowhere.
- Accreditation and systems. Host agency splits, accreditation, booking systems and the software that keeps client documents straight are the rent of this trade — they run every month, including the quiet ones. They belong in the rate at their real price, not discovered at renewal.
- Knowing the product. Supplier training, ship visits and the familiarisation trips that make your advice worth paying for take days that bill nobody directly. Some carry a cost of your own. That learning is the product itself — a modest annual line keeps it current instead of letting your knowledge age quietly.
- The 2 a.m. call. When a client is stranded, you are the service. Out-of-hours rescue is the moment your fee proves itself — and it is real work at unsocial hours. Trips that include it should say so and price it, rather than every client quietly receiving it free.
How this calculator works
Start with the hours you can genuinely sell. Take 52 weeks, subtract your vacation weeks, multiply by your hours per week, then multiply by your billable percentage. With the travel agent presets — four weeks off, 40 hours a week, 60% billable — that is 1,152 billable hours a year: the hours researching, booking and rebuilding trips that clients can pay for, once training, marketing and admin have taken theirs.
Next, work out what those hours must bring in. Add your desired income and your annual business expenses together — $57,400 on the presets — gross the total up for tax by dividing by one minus your tax rate — at a 22% estimate, divide by 0.78 to get $73,590 — then add your profit margin to reach $80,949 and divide by your billable hours. That final number, $70, is the rate below which the year stops adding up.
Now translate the hour into the per-trip fees clients actually pay. A simple return trip — researched, compared and booked cleanly — is about two hours: a $140 planning fee. A multi-stop itinerary with hotels, transfers and tours is about six hours, $420. A full day of group or complex planning is the day rate, $562. Those fees buy your time and judgement; where a supplier also pays commission on a booking, it is disclosed as its own fact, never used to pretend the planning was free.
